Arkivrutiner for hvert tjenestested i Bydel Sagene

Each service location has local procedures for dealing with what is done when. Oslo kommmunes guidelines for filing shall form the basis for these procedures. District Director is responsible for ensuring that procedures are followed, such as "the top executives in the organ" cf. Archives Act. Archive Director shall maintain inspection and provide guidance to each recordkeeping unit. Leader of each unit shall ensure that there are personnel to perform the task by law, regulations and local practices.

Procedures for central archive service and post journal at the service location

1) The item comes to the service location.

2) Local archive service bounces and stamps all letters with the date. This should, if possible, take place elsewhere than at the reception, when sensitive mail should not be accessible to unauthorized persons.

3) The letters considered for journal dignity. "Everything that is the subject of proceedings or serving as evidence" shall be recorded. Advertising, magazines and bills are sorted out and placed directly in the shelf to the executive officer.

4) Distinguish between user related mail and administrative post.

a. User Related mail recorded in manual mail journal on application office. These are user-related mail:

i. Applications of services

ii. Decisions on services

iii. Appeals against decisions

b. Administrative mail forwarded by internal mail to the administration for registration in ePhorte. This is an administrative post:

i. Documents related to more than one person

ii. Contracts tied to individuals

iii. Documents not related to people

iv. Complaints to the county

v. Complaints of work / exercise of service

vi. Complaints about staff

vii. Personnel matters

viii. Payroll Placements

ix. Appointments

x. Economy

xi. Organization

xii. Welfare

xiii. Minutes of meetings

xiv. Policies and procedures

5) Manual post journal:

Each incoming letter gets a new case number. The outgoing message to be recorded in the same column as information about innbrevet. If there is a new document on the same topic get this new case number and attach a link to the previous document with the same theme. The information to be entered in the register defined in the Archives Act. Archive code is your social security number to the user. If the document can not be linked up to one social security, this is a sure sign that document belongs in the case records, that administration.

6) User-oriented record registered in Gerica, SATS, Familia, win social where the matter is discussed. The document submitted to the executive officer for a decision.

7) The decision is recorded in the manual mail records, the same number as the application.

8) A copy placed in the archive, a copy placed in the outgoing letters database

9) Finished users sorted regularly out of the archive and arranged for remote storage and disposal. Most of the material to be preserved forever. Should something be discarded must be taken decisions in each case. Mail records shall be kept forever.
